Guidelines for Organizers of Side Events

Side events offer special space and moments of exchange. They are a great opportunity to present your work related to the conference’s theme. Side events will allow to debate on specific issues and projects and to share your experience with other participants.

You should submit your proposal using the enclosed Side Event Application Form, and include a description of the requested event, thematic focus, speakers/presenters and the event’s potential contribution:

  • To the goals and objectives of the conference;
  • The opportunity to network and develop partnerships on common issues and solutions;
  • Brainstorming of innovative ideas on a relevant topic.

The Conference Secretariat will coordinate side events organization and make the necessary logistical arrangements. The organization convening a side event will be responsible for its content including production and distribution of any documentation and all related costs.

Please note that due to space limitations, submitting an application does not guarantee that your request will be honored. The Secretariat will come back to all applicants and will send to the organizers of confirmed side events the “booking contract” which includes information for the set-up of the event (date, time, location, logistics, costs, etc.).

Practical Information

When? Lunchtime 29 May (11:00-12:30), 30-31 May (13:00-14:30) and in the evening 29-30 May (19:00-21:00).

Audience? Side events are open to all conference participants. Note that side events’ participants, panelists, speakers and convenors have to be paid registrants at the conference.

How will people learn about the event? Registered side events will be announced on the conference webpage and the schedule included in the Conference Bags handed out to participants the day of registration. The Conference Secretariat will not produce fliers, distribute notices, or run other publicity efforts for side events.

Technical equipment? The session room will be equipped with a projector and screen, however, you will have to use your own laptop for the presentation. Please be sure to bring along any other equipment, supplies, etc. that you might need.
